Introduction

This Privacy Policy explains how First AI Holdings LLC, operating PaxPilot (“PaxPilot”, “we”, “us”), collects, uses, and protects information when a business uses PaxPilot to manage guest conversations, and when a guest interacts with a PaxPilot-powered assistant on behalf of that business.

PaxPilot acts as a data processor on behalf of the properties and businesses it serves (our “customers”), and as a data controller for information collected directly through this website, such as demo requests and the AI Readiness Audit.

Information we collect

We collect information in three broad categories.

  • Business contact information, such as a name, email, phone number, and property or company name, submitted through the demo request, AI Readiness Audit, waitlist, or contact forms.
  • Guest conversation data, processed on behalf of our customers, including messages sent through a customer’s website chat, WhatsApp, phone line, or Instagram, and any booking details a guest provides.
  • Technical information, such as browser type, device information, and general usage data, collected automatically to keep the site and product working correctly. See our Cookie Policy for details.

How we use information

  • To respond to demo requests, audit submissions, and general enquiries.
  • To operate the PaxPilot assistant on behalf of a customer, including answering, qualifying, and booking guest enquiries.
  • To improve PaxPilot’s accuracy, reliability, and safety.
  • To meet legal, security, and contractual obligations.

How information is shared

We do not sell personal information. Information may be shared with:

  • The business a guest is contacting, since that is the purpose of the conversation.
  • Service providers that help us operate PaxPilot, such as cloud hosting, messaging platforms (including Meta’s WhatsApp and Instagram platforms), voice and telephony providers, and payment processing, each bound by their own data protection obligations.
  • Authorities, where required by law.

Data security

Guest and business information is encrypted in transit and at rest, access is scoped and logged, and every conversation and booking is recorded in an auditable trail. See the Security and Governance section of the PaxPilot site for more detail.

Data retention

Information is retained only as long as needed to provide the service, meet legal obligations, or as agreed with the customer on whose behalf the data was collected. Specific retention periods will be finalized with legal counsel and stated here before publication.

Your rights

Depending on where you are located, you may have rights to access, correct, delete, or restrict the use of your personal information, including rights available under Jamaica’s Data Protection Act. Children’s privacy

PaxPilot is not directed at children, and we do not knowingly collect personal information from children.

Changes to this policy

We may update this policy as PaxPilot evolves. Material changes will be reflected with an updated date at the top of this page.
